Moderation and engagement

Community management

We run and moderate your online community: clear rules, daily moderation, engagement that gives members a reason to return, the tools and bots behind it, and a monthly report. A person stays responsible for every decision about your members.

A community is often the most valuable channel a business owns. Members ask questions, help each other and tell you what they want. It is also the easiest channel to lose. Spam and scams arrive faster than one person can remove them, questions go unanswered, and a busy server can turn into an empty one within a few months.

Astraeus treats a community as an operating system with rules, roles, tools and a daily routine. We set up the structure, moderate it, keep conversations going and report what members are saying, so the business can see what the community is worth. We can run it fully, support your own moderators, or set it up and train your team.

Communities we manage

Wherever your community gathers

Servers, groups and workspaces each need different rules, tools and moderation habits. We work across the platforms below and set up each one to suit how your members actually talk.

  • Discord
  • Telegram
  • WhatsApp Communities
  • Facebook Groups
  • Slack

Logos identify each platform. They do not suggest a partnership with, or endorsement by, any of these companies.

What this can look like in an SME

The tools are examples, not a fixed stack. Access, cost, security and the way the team already works decide the final design.

Membership and fitness businesses

Members use a WhatsApp Community and a Facebook Group, but announcements get lost, the same questions repeat every week and nobody owns the replies.

What we could implement

Clear group structure and rules, a weekly announcement rhythm, saved answers to common questions, daily moderation and a monthly summary of member feedback for the owner.

Tools often involved
WhatsApp Communities · Facebook Groups · a shared inbox or CRM · Claude or ChatGPT for drafted replies
Human checkpoint
Staff approve announcements and handle anything about billing, health or complaints.

Software and product companies

The Discord server grew quickly. Support questions are mixed with feature requests and spam, and the team answers in bursts between other work.

What we could implement

Channels and roles redesigned, a verification gate and auto-moderation bot, a ticket flow for support, tagged feature requests passed to the product team, and an FAQ bot that answers from approved documentation.

Tools often involved
Discord · moderation and ticket bots · the help centre or docs · the product team's issue tracker
Human checkpoint
Product staff answer technical questions the FAQ bot cannot, and approve every public statement about the roadmap.

The sequence

From audit to daily cover

  1. 01

    Audit

Review the current community: platforms, rules, roles, activity, common questions and the risks that keep coming back.

  2. 02

    Set up

Structure the channels, write the rules and onboarding, set up the bots and permissions, and agree escalation steps.

  3. 03

    Run

Daily moderation and engagement during agreed hours, with events, announcements and replies in your voice.

  4. 04

    Report and improve

A monthly report on activity, issues and member feedback, then changes to rules, tools and content based on what we learn.

How we compare

Why communities choose Astraeus over the usual options

Volunteers burn out. Bots miss context. One freelancer cannot cover every time zone. We combine trained moderators in any language with the right tools, and we report what the community is worth.

Tell us about your community

What community management includes

One team takes responsibility for the community, from the rules to the monthly report.

Rules and onboarding

Clear rules, a welcome flow and roles, so new members know where to go and what is expected.

Daily moderation

Removal of spam, scams, abuse and off-topic posts during agreed hours, with consistent and documented decisions.

Engagement

Replies, questions, announcements, events and Q&A sessions that give members a reason to come back.

Moderation tooling

Auto-moderation, verification gates, ticket systems and bots, set up in your own accounts so you keep full control.

Moderator team

We can provide moderators in any region, speaking any language your members use. We recruit, train and schedule them, or support your existing volunteers with playbooks and rotas.

Safety and escalation

Steps for scams, impersonation, complaints and difficult situations, with clear points where your team takes over.

Member insight

A summary of what members ask for, complain about and praise, passed to the people who can act on it.

Reporting

A monthly report on growth, activity, moderation actions and member feedback, in plain language.

Where AI helps

AI makes moderation faster and more consistent. A person still makes the decisions that affect members.

Triage

Incoming messages sorted by type and urgency, so questions, complaints and sales enquiries reach the right person quickly.

Spam and scam detection

Suspicious links, copied messages and impersonation attempts flagged for a moderator to review.

Drafted replies

Answers to common questions drafted from approved information, then checked before they are sent.

Weekly summaries

A short summary of what the community discussed, what it wants and what is causing friction.

Running social media as well?

Community management works alongside our fully managed social media service, so your public profiles and your community speak with one voice.

What Astraeus does not promise

Bought or fake members

We do not buy members, use fake accounts or run bots that pretend to be people. A smaller real community is worth more.

Round-the-clock cover by default

Moderation runs during agreed hours, with bots covering the rest. Longer cover can be scoped and priced separately.

Unsupervised AI replies

AI drafts and flags. A person approves replies and makes every decision to warn, mute or ban a member.

A community without a reason to exist

Moderation cannot create interest that is not there. If members have nothing to gather around, we will say so first.

Analytics

See what your community is worth

Every month you get the numbers behind the community in plain language: growth, activity, moderation actions and what members are asking for. AI does the first summary and a person checks it before it reaches you.

Illustrative example, not client data.

The honest boundary

A community needs a reason to exist beyond the brand: a shared interest, useful help or access members cannot get elsewhere. If that reason is missing, we will recommend fixing it before paying for moderation. Some communities also carry legal or safety duties, such as groups for young people or regulated products, and these are scoped with the client's own advisers.

Direct answers

Common questions

Which community platforms do you work with?

Discord, Telegram, WhatsApp Communities, Facebook Groups and Slack. The right platform depends on where your members already are and how they like to talk.

Can you moderate around the clock?

Standard cover runs during agreed hours, with moderation bots and filters working outside them. Longer or 24-hour cover is possible, and it is scoped and priced separately.

Do you set up bots and moderation tools?

Yes. We set up and configure auto-moderation, verification, ticket and FAQ bots in your own accounts, and document how they work so your team keeps full control.

Can you provide moderators in our members' language and time zone?

Yes. We can provide moderators in any region, speaking any language your community uses, so members are answered in their own language and at their own hours. Tell us the languages and time zones and we will scope the team around them.

Can you train our own moderators?

Yes. We can write the moderation playbook, train volunteers or staff, set up rotas and review difficult cases with them until they are confident.

How do you deal with scams and impersonation?

With verification gates, filters for suspicious links and names, fast removal and clear warnings to members. Serious cases are escalated to your team, and to the platform where needed.

Do you use AI to reply to members?

AI drafts replies to common questions from approved information and flags messages that need attention. A person checks replies before they are sent and makes every moderation decision.
